Borrowing Materials


  • An LACCD student identification (ID) card with current semester sticker or validation attached to the back of the card, or current registration receipt, is required for borrowing library materials.
  • Note: A current online receipt printed from the LACCD student information system ALONG WITH another form of photo identification (such as a Passport or Driver's License) is also acceptable.


  • All ELAC faculty (including adjuncts) must fill out a library card form in order to borrow materials and place materials on Reserve.
  • Bring your employee identification card (ID) to the Circulation Desk.
  • Staff will ask you to fill out a form, and will attach an ELAC library barcode number to the back of your ID card.

Agreement with California State University, Los Angeles

The Helen Miller Bailey Library has a reciprocal agreement with California State University, Los Angeles in which ELAC students and faculty may use and check out library materials by showing a current ELAC ID card, or a current registration fee receipt.

There are no renewals for books. If you want to check an item out again, it must be returned and remain in the library for 24 hours before it can be borrowed again.

Students can renew allowable items in person at the circulation desk, online, or over the phone.



  • Materials may be checked out up to 15 minutes prior to closing time.

Lost Books Policy and Procedures

A book is considered lost when it is listed in the database as "Checked Out/AsmLost".  An item becomes an assumed lost item when it's overdue between 29-35 days.  A hold is placed on the student's record. The student can have the hold lifted in one of the following ways:

  1. Paying a processing fee of $10.00 plus the current cost of replacing the book. The price can usually be ascertained by checking If the title cannot be found, it is probably out of print. Ask to see the Collection Development Librarian to determine the price to be set.
  2. Buying a replacement copy, the edition to be specified by either the Collection Development Librarian or any other librarian. The processing fee and outstanding fine must still be paid.


Damaged Materials Policy and Procedures

  • Generally, the library does not check out damaged materials.

  • However, when checking out any material, it is the responsibility of the borrower to inspect the item and to alert the library staff to any damage prior to taking the material out of the library.
  • For any library material that is returned damaged, a replacement fee is charged equal to the current cost of the item plus a processing fee.
  • The Collection Development Librarian determines the actual cost of the damaged item.

Holds Policy and Procedures

ELAC Library Hold Policies

  • ELAC students, staff, and faculty may place a hold on library books or DVDs through the library catalog. There is no fee to place a hold.
  • A patron may place a hold on an item that is currently checked out to another user or one that is available from the STACKS. 
  • Students can place holds on up to 10 items at a time.
  • If you placed a book on hold on a checked out item, you will be notified by email once the book is returned.
  • If you placed a book on hold on an item that is available, you will be notified by email once the book becomes available for pick up.  Students will be able to check the status of the hold via the library book catalog under "My Account." If the item is available, it will show "Available Pickup at: ELAC." If the item is still pending, it will show a number, e.g., "Your position in the holds queue: 1." The number is the priority number of the hold.
  • Holds are filled in the order they are placed.
  • You can cancel your request at any time via the library catalog under "My Account." Held items are to be picked up at the circulation desk.
  • Once your hold becomes available for pick up, that item will be held for 7 days. Please make every effort to pick up the item within seven days. The item will not be available after the expiration date.

Library Hold Procedure (How to place a book on hold via the library book catalog):

  1. Go to our library book catalog (Monterey Park Campus Catalog OR South Gate Campus Catalog) and look up a book.
  2. Once you have found a book in the catalog, click on details to see the full record.
  3. Click on the "Place a Hold" link located on the left side of the record to place a hold on the book.
  4. If an item is not holdable, the "Place a Hold" link will not show.
  5. You will be asked to enter your ID number and PIN. Your ID is your student ID number and your PIN is the month and day of your birth date (MMDD, i.e., January 12= 0112).
  6. If you are a faculty or staff with an ELAC library card, enter the barcode number as shown on the card as the user ID, and enter the PIN you were assigned when you were issued the card.
  7. If you are having trouble with your PIN or otherwise have problems with your login, please call the circulation desk at 323-265-8758 (Main campus), or 323-357-6219 (South Gate).
  8. The default expiration period for holds is set to 60 days. You may specify or change the date you no longer need it.

Intra-Library Loan (ILL)

Intra-Library Loan (ILL) with LACCD Libraries (or Holds)

Intra-Library loan, or ILL, borrows books that the ELAC Libraries do not own or carry in print, but are available at another District College's Library. (Please note that our district does not participate in Interlibrary Loan, which borrows books from Libraries outside of our district.)

Intra-Library Loan is available to all LACCD students, faculty, and staff. 

ILL Procedure:

  1. Users will now place their own ILL request through ELAC's Online Public Access Catalog.
  2. Before you search for items, change the Library dropdown to "ALL"  to search all LACCD Library holdings.
  3. Once you have found a book you would like to have sent to ELAC, click on the item, and then click on "Place Hold." (Note: Items that cannot be requested will not have the "Place Hold" option.)
  4. Input your student ID number (or library barcode number for faculty and staff) and your pin (month and day of your birthday). 
  5. Select your pickup location and submit the hold.
  6. It takes approximately up to 5 working days to receive the requested material.

ILL Policies

  • ‚ÄčPatrons will receive an email notification once a book arrives and is available for check out. You will pick up material(s) at the circulation desk on the first floor.  Items will be held for seven days.  

  • LACCD students can borrow up to ten regular circulating books from any library in the LACCD.

  • You can borrow books for up to 28 days (No renewals allowed).

  • Only general collection circulating books can be requested through the ILL/Holds process.

  • Materials that are not available for ILL include the following:

    • Reference materials

    • Reserve materials

    • Audio visual materials

    • Periodicals

    • Circulating Textbooks

    • DVD requests can only be placed between ELAC's Monterey Park Campus Library and the South Gate Campus Libraries.

  • We make our best effort to help you place the request, but it is at the discretion of the holding library to fulfill it. 

ILL Fines and Fees

  • There is no charge to use this service. However, you will be responsible or liable for any late, lost, or damaged materials. 
  • Please return materials on time, directly to the circulation desk, to avoid fines and holds on your record. Failure to return material may result in suspension of library privileges. 
  • Bills for lost items and processing fee will be charged and paid at the ELAC libraries through the Fiscal Office.
